ATS Resume Template 2026: How to Pass Applicant Tracking Systems

Before a recruiter ever sees your CV, there is a good chance software has already read it. Most large employers in the US, UK, Canada, Europe and the Gulf use an applicant tracking system (ATS) to collect applications, pull out key details and rank candidates against the job description. A beautiful two-column resume full of icons can come out the other side as scrambled text. This guide shows you how to write a resume that both the software and the hiring manager can read.

What an ATS actually does

An ATS parses your file into fields: name, contact details, job titles, employers, dates, education and skills. Recruiters then search and filter those fields, usually by keywords taken straight from the job advert. If your experience is hidden inside a text box, a table or an image, the system may never find it.

The ATS-friendly resume format (2026)

  • Use a single-column layout with standard headings: Summary, Experience, Education, Skills, Certifications.
  • Save as .docx or a text-based PDF. Never upload a scanned image or a photo of your CV.
  • Keep fonts simple (Calibri, Arial, Inter) at 10–12 pt, and avoid putting key details in headers or footers.
  • Write dates consistently, for example "Mar 2023 – Present".
  • Mirror the job advert's keywords honestly. If the role asks for "accounts payable" and you did it, use that exact phrase.
  • Quantify results: "cut invoice processing time by 30%" beats "responsible for invoices".

Regional differences: US, UK, Canada and the Gulf

US and Canada: call it a resume, keep it to 1–2 pages, and leave out photo, age and marital status. UK and Europe: "CV" is the usual term; 2 pages is standard and a photo is generally not expected in the UK. UAE and GCC: employers often expect nationality, visa status, notice period and sometimes a professional photo. Add these in a short "Personal details" line rather than a graphic. Our Gulf-Ready ATS CV Kit includes both an international and a Gulf version of each template, so you can switch quickly.

A 10-minute ATS check before you apply

  1. Copy your CV text into a plain text editor. If the order is jumbled, the ATS will see the same mess.
  2. Highlight 8–10 keywords in the job advert and make sure each one appears where it is true for you.
  3. Check that your job titles are plain ("Sales Executive", not "Revenue Ninja").
  4. Name the file clearly: FirstName-LastName-Resume.docx.
  5. Pair it with a tailored cover letter. Our 12 cover letter templates follow the same clean format.

Frequently asked questions

Can an ATS read a PDF resume?

Most modern systems read text-based PDFs, but some older ones handle Word files more reliably. If the job portal says .docx, use .docx.

Should I put a photo on my resume?

Not for most US, Canadian and UK roles. In the UAE and wider Gulf a professional photo is common, but it is still optional.

How long should my resume be?

One page for early-career roles and two pages for most experienced professionals.
